Tips for Record Keeping and Documentation

Record keeping and documentation are key to making a trip run smoothly. It's even more important if you need to file a claim.

Whether you are responsible for your students' claims or your own, having the right information on hand will expedite any claim process for you.

Here are some helpful hints...

Keep Your Receipts

Anything that happens of consequence should be recorded! Think of it like a souvenir. Bag is lost? Save that report document from the airline or tour company. A hospital stay was an unexpected addition to your daily itinerary? Hug that medical record and invoice close to the heart. Better yet – take a picture of it.

Know the Right Info

You should have a list of your students with emergency contact information. While you're at it, bring the contact numbers of the travel insurance company with you. They may be able to help you more than you expect during a situation by utilizing the assistance benefits found in most plans. Equip your students with your cell phone number, the embassy/consulate information and the travel insurance numbers as well. It could save precious time in case of an emergency.
